People often leave their jobs for different reasons and most want to leave on good terms. Some of the common reasons are bad working conditions and getting better prospects. A well written resignation letter should come in handy for someone who wants to leave their job. The letter’s purpose is to let the current employer know that one wants to leave and gives them an opportunity to make a good impression professionally as well. The most important thing to remember is that a resignation letter should always be short and precise; it should not be used for airing one’s grievances.
- The first step one should take when writing a resignation letter is to ensure that their letter takes the format of a normal business letter. The letter usually has one’s address and name at the very top of the page. One should then go 2 lines done the paper and type the address and name of their employer. After another two lines one should type the name of their employer.
- It is advisable to state that one is leaving their position and also provide the date of their last day to be working in the very first paragraph. It is important to give proper notice so that the employer can get a replacement on time. One might also have to train the new person especially if their job was very complicated and the new person might not be able to start straight away. Controversial language is unacceptable and so is emotional language. One should quit like a professional.
- Start on a new paragraph and here they should thank their employer for giving them an opportunity to work in that company. One can name specific people like co-workers and supervisors that they enjoyed good working relations with as well or who mentored them as well. One may also mention how their present job influenced their career positively. It is advisable to resist the temptation for giving one’s grievances in the letter as they will only come out as an unappreciative person.
- Close in the last paragraph and here they should wish the business success.
- Finally, type the word sincerely and then leave 4 blank lines and type their name. Opening on a positive note and ending on a positive note is known as the “sandwich technique” which enables one to soften the bad news blow using positive statements on both ends.
The letter should be well describing the date that one plan to resign. Make sure the letter is written in a professional way and not having rude words just because one is resigning.
